We are currently looking for an Operations Support Coordinator- Toronto.

Reporting to the General Manager, Operations, the Operations Support Coordinator (OSC) is responsible for daily administrative and operational support of Class 2 and 3 airports. The role holder is accountable for assisting Regional SPM of various airports with ensuring compliance and delivery of program requirements and objectives while meeting regional and corporate deadlines and financial targets.

TASKS AND DUTIES

Identify staffing needs for all regional airports, and proactively collaborate with Regional SPMs and recruitment to plan and fulfil labour shortage

Communicate with CATSA Training and Certification team on a regular basis

Prepare training forecasts for regional airports

Maintain strong relationships with CATSA, the union, employees, and other stakeholders

Participate and/or assist with the hiring and onboarding of new Screening Officers, TTL s and Regional SPMs

Provide the General Manager of Operations with information to help with long-term strategic planning

Demonstrate a proactive and methodical approach to identifying high performers and leading development plans for related succession planning

Implement, oversee, and contribute to the development of various internal training initiatives

Collaborate with Regional SPMs and Training Department to ensure performance plans are completed maintain training records and develop training plans

Maintain regular communication with GardaWorld HQ regarding payroll and weekly SITT signoffs

Seek opportunities to streamline administrative procedures

Order office supplies for regional airports

Schedule and arrange all travel for Screening Officers, Regional SPMs for training/work purposes and submit expense reports

Generate various reports on request

Draft and distribute correspondence memos, letters, and operational bulletins

Order and track consumables, and track usage levels for the region

Provide vacation or on a leave of absence coverage for Regional SPMs when required

Support the General Manager with complex grievances

Foster teamwork with screening personnel, management, and key stakeholders

Provide support to the Regional SPMs in all areas of the day-to-day operations

Identify needed performance improvements by analyzing internal data and external best practices

Make timely, innovative, and realistic recommendations for reactive and proactive change

Travel to Class 2 and Other airports when required

Observe and provide coaching, corrections, and overall feedback to Screening Officers

Assist with internal investigations including but not limited to breach, infiltration tests, security events, human resources events, training events, professional conduct events and attendance events

Prepare and issue discipline including verbal warning and suspensions

Conduct directed oversight on screening positions and procedures

Other duties as required

EDUCATION AND SKILLS REQUIRED

University or College Degree in Business Management or other related discipline
Minimum of 2 years of management experience in an office environment
Proficiency in Microsoft Office (Microsoft Word, Microsoft Excel, and Microsoft Outlook, in particular)
Knowledge and understanding of Collective Agreements
Strong strategic development and analytical skills
Excellent time management skills and ability to multi-task and prioritize work
Excellent written, verbal and communication skills
Ability to excel in stressful situations
Strong organizational and planning skills
Previous experience in Unionized environment is an asset
Familiarity with internal systems, such as GSKED and CATSA s LMS system is an asset
Bilingual in English and French is an asset
